Chapter Minutes: Heart of the Umpqua Artists November 15, 2008
Minutes were recorded as Secretary Imogene Rains was unable to attend the meeting. Jamie Mills-Price was teaching a new project, so the meeting was postponed until lunch time so everyone would have a opportunity to finish the project.
The meeting was brought to order by our President Jeanne Swanson at 12:27 p.m. with 20 members present and one guest hosted by teacher Jamie Mills-Price.
Jeanne indicated Barbara Steingrobe would address the Christmas Party when she came back.
Jeanne brought up the problem encountered with the Chezza class to be held in February. Apparently the Community Center was double booked on the 14th of February. A young lady wanted to be married in her Grandmothers wedding dress on her wedding anniversary of February 14th. Phyllis emailed Jamie in Australia to check with Cheeza to see if we could reschedule the class to Sunday February 15th. Cheeza said no problem, so the date has changed to February 15th, at no cost to the Chapter because of the double booking. Get your reservation and money back in to Phyllis as soon as possible. She has forms with her today.
Jeanne then mentioned that we had a change in officers. Apparently Wanda Jo Borcherding has changed her mind about assuming the position of Secretary of the Chapter. She has too many things going on in her life at this time and does not feel she can handle the responsibilities at this time. Ronnie Gobel has volunteered to take over the responsibility of Secretary. A motion was made by Phyllis Lynch to accept Ronnie as Secretary, second was made by Stormy Speaker. Motion was approved by members.
Jeanne then brought up our Ornament fundraiser. If you have painted and turned in ornaments purchased by chapter funds, the ornaments will remain with the Chapter for our fundraiser. If you painted and donated the ornaments and they have not sold, you may ask for them back.
Jeanne then brought up the subject discussed at Board, buying new plastic to cover our paint tables. We have had the current covers for five years and they are looking pretty bad... Jeanne is donating table cloths for special occasions and would like to buy new plastic to place on the tables for special occasions and themed meetings. Phyllis mentioned that she had purchased a heavy duty drop cloth plastic for Jamie Seminars and they covered the tables well and folded wonderfully instead of sticking together. .Phyllis said she can purchase enough plastic to cover nine tables for about $12.95. Jeanne wanted to buy additional for special events. Jeanne then asked for a show of hands to purchase new plastic table covers. Majority approved paint table cover purchase. She then asked for a show of hands for extra plastic for special events. Majority approved. We get new table covers….
Jeanne then brought up the purchase of a new coffee pot for the Chapter. Apparently there is a problem if you don’t get the stem in the center of the pot. She wanted to know if we would like to look into pricing a pot similar to the one at the community center. The majority wanted to look into pricing the new pot. Ronnie Gobel will look at costs and the pot will be tabled until Barbara Steingrobe takes over after the first of the year.
.Jeanne then called on Barbara Steingrobe, Ways and Means Chair for a report on the Christmas Dinner.
Barbara had been in touch with her daughter about the price and menu for a catered dinner. Erica had indicated a menu of Turkey and Ham and then Turkey, mashed potatoes, gravy, dressing, rolls and green bean casserole. .Barbara was not sure if it was turkey and ham for $160.00 or just turkey and all the trimmings. For fifteen or twenty people, this breaks down to about $8.00 a plate. The other option for dinner was potluck. Mention was made that last year, pot luck was very good. Many worked very hard, some not so hard on the meal. .It was also brought to Chapter attention that it would be more than $160.00 for the catered meal, we still have gratuity to add to that cost. In the past Chapter paid for the full meal. Because of finances, we did pot luck last year. Barbara then mentioned that we have not really done so badly in the fundraising as we had earned approximately $970.02 in our fundraising efforts this year. Question was asked, is that net or gross?? It is gross, costs and allocations have not been taken out of totals yet. It was suggested we take a vote with a show of hands. Do we do pot luck, show of hands was five members. Catered dinner show of hands was eight. Then do we have chapter pay for the catered meal, show of hands was four. It was then suggested that we split the difference and have the members pay half of the eight or ten dollars and then have chapter pick up the rest. Helen suggested that we pay five dollars, then we don’t have to mess with pennies. This meal does not include
desserts. We would still bring desserts as we have done since the beginning of Chapter. December 20th is the third Saturday, so that will be our Christmas Dinner date. Five days before Christmas. The school will set up and serve.
We will have our ornament exchange, if you paint one and bring it, you get one in return. If you don’t bring one you don’t get one. The board members will be bringing prizes for Bingo, but if any chapter members want to bring a prize, please give it to Barbara.
A question was brought to Helen. If you don’t eat, do you still have to pay the $5.00?? It was decided if you do not eat the catered meal you do not have to pay for it.
Helen then mentioned that she had a breakdown of the allocated funds if someone is still having a problem. She will place it on the back table so you can look at it. If you have any questions, please ask her.
